Ordering replacement certificates and transcripts for graduated students
Please note: due to the high volume of requests we receive, orders can take a minimum of 30 working days to process.
If you require your documents urgently, you can select priority service (which reduces the document processing time to 10 working days) at the time of ordering for an additional cost. Please note - document processing time does not include delivery time.
The phone line is usually available on Tuesday, Wednesday and Thursday between 2pm and 4pm. The contact number is 01524 510599. Due to limited staff availability, calls can't always be answered.

How can I order a replacement undergraduate document?
Additional copies of your undergraduate Degree Certificate, Transcript and Higher Education Achievement Record (HEAR) can be ordered at any time from the beginning of graduation week.
Please be aware that a minimum of 30 working days is required to process requests.

How can I order replacement postgraduate documents?
Additional copies of your postgraduate Degree Certificate, Transcript and Higher Education Achievement Record (if appropriate to the course of study) can be ordered once the originals have been produced.

Can I order replacement documents for a PhD?
You will be able to order a Degree Certificate and a Confirmation of Award letter. We are however unable to provide you with a Transcript or a Higher Education Achievement Record (HEAR).

Can I order more than one certificate?
You are able to request multiple copies of certificates. The maximum number of copies that can be requested per order is five copies. If you require more than five copies you will need to place separate orders. Please be aware that each certificate produced is an original with its own unique print number.

I studied years ago, can I still order a transcript?
You can order a transcript if you graduated from the University in 1995-1996 academic year onwards. If you graduated prior to this date, please email the alumni document team so we can check if we have enough information on file to compile a transcript for you.

I didn't complete my course, can I order a partial transcript?
If you are requesting a document for an undergraduate degree programme we can provide you with a partial Transcript which confirms the course modules you completed and the marks you were awarded. We are also able to provide you with a Confirmation of Study letter.
If you studied for a postgraduate programme you will need to contact the relevant department directly to see if this could be produced.

Can I have information added or excluded from documents I have ordered?
Unfortunately, we cannot add or remove information from Degree Certificates, Transcripts, Higher Education Achievement Records (HEAR) or Confirmation of Award letters.

What is a Higher Education Achievement Record (HEAR)?
Your HEAR provides a full record of your achievement during your time at Lancaster. This includes your academic achievements – the courses you took and marks you were awarded – and also any extra-curricular activities, prizes, voluntary work and offices held in colleges and societies that have been verified by the University. Your HEAR document also incorporates the European Diploma Supplement. The HEAR is available to students who completed their degree in the 2011-12 academic year onwards.

Can I request a stamped photocopy of a document?
You are able to request a stamped photocopy of a Transcript and Degree Certificate. There is a charge for this service of £5 per document, for example, if you asked us to certify both a Transcript and Degree Certificate you would be charged £10 (£5 for each document).
Due to the high volume of requests that we receive please allow up to 10 working days for processing.

Once you have made the payment you will need to email Alumni Document providing your full name and one postal address. Alongside this, you will need to attach a copy of the documents you require stamping.
Please be aware that stamped photocopies may not be accepted by many institutions as proof of your qualification. Your only option available from the University in this instance would be to order additional copies of your documents via this page. We strongly suggest that you contact the institution to which you are applying for further advice and guidance.
Please note that we are unable to post documents to multiple addresses.

How can I get my order to be prioritised?
When placing your order, you can request for documents to be prioritised as urgent by paying an additional £20. This cost reduces the processing time from 30 working days to 10 working days.

Can I request scanned copies of my document order?
We can scan and email a pdf of your ordered hard copy document, when processed, prior to posting. Unfortunately, this does not reduce processing times as we have to produce the hard copy document to be able to scan it. Once you have placed a document order, please email the alumni document team with your order customer reference number to request a scanned copy prior to the hard copy being posted.

Do you provide an apostille seal/stamp?
An apostille is an internationally recognised stamp which verifies the authenticity of documents. Lancaster University does not provide this service; you will need to contact a Notary Public or Apostille Certificate Service for further information.

What are my postage options?
All documents are posted out first-class or standard airmail and this cost is included in your order. Delivery by this method may take up to three weeks. Documents are not tracked when sent by the standard service.
All documents are sent out in a hard backed envelope which is stamped and signed across the seal.
Other postage options
DHL courier service. This can be selected when placing your order for an additional cost, and tracking is available when using this service.
World Education Service (WES) When ordering you have the option to request we use WES.
If your order is for World Education Services, please follow the steps below when you are completing the order form:
1) Select the documents you require
2) Select the WES option under the additional services
3) Please state your WES reference number as the first line of the WES delivery address
4) WES require us to submit all documents via email, not as hard copies – please do not add DHL courier service to your order, WES do not wish to receive physical documents
5) After submitting the scanned copies of your documents, we will securely destroy them. However, if you would like us to post the hard copy documents to your home address, please include this in the address field under your WES reference number.
6) If you have a WES form, please scan and email this to us after placing your order, quoting your order 5-digit customer reference number.
Your order will be produced to the WES requirements and sent by email.

Can I collect my document or have someone else collect it on my behalf?
If you are recently graduated and yet to collect your original (first) copies of your degree documents and would like a third party to collect your degree documents for you as you are unable to attend your ceremony, you must complete a Degree documentation third party permissions form and email this to alumnidocument@step1method.com from your Lancaster University email account before the date of your ceremony. The person collecting your documents will also need a copy of this form. We will not hand your documents to anybody else without this.
Degree certificate, transcripts and Higher Education Achievement Report (HEAR) will be available, free of charge, for collection during the week of degree ceremonies from B07 in the Roundhouse Building in Lancaster Square between 2-6pm on Tuesday 26 July, and 9am-6pm, Wednesday 27 to Friday 29 July 2022.
For all other Alumni, a collection service is currently not available.

Can I send my document to someone other than myself?
Yes. You will need to ensure that you add the relevant postal address into the separate delivery address option on the order form.

Can an incoming Study Abroad, Exchange or Eramus student order a document
As your original documentation was produced by the International Office please contact them directly for further information on obtaining additional copies.

Can you send documents direct to the World Education Services?
Yes, we can.

Can you send a document via Digitary or Gradintel?
Lancaster University does not use Digitary or Gradintel.

Do you provide electronic documents as I don’t need the hard copy?
Lancaster University do not provide electronic documents. We can however scan and email a pdf of your ordered hard copy document, when processed, prior to posting. Unfortunately, this does not reduce processing times as we have to produce the hard copy document to be able to scan it. Can I contact the Alumni Document Team by telephone?
At present, the phone lines cannot be maintained at the usual times and the best way to contact the team is via alumni document team email.

How can I get an urgent confirmation of my degree?
If you need an urgent confirmation of your degree, Qualification Check allows registered enquirers to cross-check, in real time, information that they have been given against Lancaster`s student records, and verifies it if matches. This speeds up significantly response time to verifications. Enquirers will be charged a fee per enquiry.

I never received my original document, what should I do?
Please email the Student Records Team stating your name, student ID (if known), date of birth and your course of study.
If you studied at an affiliated institution, please email Certificate Enquiries stating your name and order ID.

I received the wrong document, what should I do?
Please get in touch with a member of the team by email. The order will be amended and any refunds or additional costs will be applied as appropriate.

I am unable to order a transcript, what should I do?
If you completed your studies at the Bailrigg Campus, you can order a copy of their transcript from the online document ordering form above.
Students who completed their studies at an affiliated institution do not always have the option to order a transcript as these will be produced by the institution you studied at.

What happens if my ordered document does not arrive?
When your order has been produced, you will receive an automated email confirmation. If it has been less than 21 days please do be patient as deliveries within the UK can take up to 7 days whilst non UK orders may take up to 21 days to deliver. If it has been longer than 28 days then please email the alumni document team to inform them.
Please be aware the service outlined above is only available if your order has been produced within the last 3 months.

I think there is an error on my transcript, what should I do?

Is an additional certificate identical to my original document?
An additional certificate is an official copy of your original; however, this document is unique and as such may differ from your original document in the following ways:
- The print number on the document will differ as each certificate is unique
- The signatures on your document may differ from those on your original
- The University logo may be different from when you attended Lancaster
